Terms explained

General Data Protection Regulation (“GDPR” or Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC) is a regulation on data protection and privacy, that applies in the European Union (EU). It’s intended to give more control and rights to European Union citizens in respect of personal information.

Personal data includes all information that refers to an identified or identifiable natural person, in other words, it is information that concerns you personally. This can include for example, your name, your address, your telephone number or your date of birth. Our policy may refer to personal data as ‘personal information’.

Lawful basis for processing – all uses of personal information must be supported by a ‘lawful basis for processing’. This means there must be provisions in the GDPR allowing the use of personal information for specific purposes.

Data controller – the natural or legal person, which determines the purposes and means of the processing of personal data.

By this website, we are bringing to you our projects and activities organised under the European Union’s Erasmus+ programme.

The data controller

All personal information provided by you through this website is under the control of the above organisation and we’re responsible for taking care of your personal information in line with the General Data Protection Regulation (GDPR).

All persons working for us are bound by the General Data Protection Regulation (GDPR).

If you provide us with your consent to include you in our mailing list, we may use your personal data to send you information about the projects or activities in which our organisation or partner organisation are involved and we think you may find interesting. We may also share your personal information with our partner organisations, so they could send you information about the projects or activities in which they are involved. However, you will always have the option to unsubscribe from any of the mailing lists and the right to withdraw your consent by replying to the email you have received.

What personal information do we collect, why do we process your personal data & how do we process it?

We will only ever collect the following information:

• information that will let us contact you if you have asked us to and provide you with information that you requested;

• information that we need from you if you wish to take part in our projects or activities as a participant and based on which we can consider you as a potential participant;

• information that we need from you if you ask us to consider you as a potential future member of our team or consider your organisation as a potential future partner;

• information that will help us to improve our projects and activities that we bring to you (such as evaluation and feedbacks);

• information that we need to fulfill our duties and tasks related to the project administration within the Erasmus+ programme (e.g. dissemination);

• information that will help us to ensure equal rights and opportunities including gender equality to everyone who would like to take part in our projects;

• information that we need to ensure your health and safety if you take part in our project or activity;

• information to make sure we meet your dietary requirements if you take part in our project or activity;

• information that will help us to promote our activities and projects and create visibility for us, as well as for non-formal learning, international volunteering and the Erasmus+ programme in general.

We may collect the above information-including your personal data by various means (e.g. via forms filed out by you in person or electronically via this website, via emails, phone calls, etc.).

The personal data we collect via our website

You can find an integrated contact form (“Application form”) on this website through which you can contact us if you wish to participate in our projects or activities, subscribe to our mailing list and to get more information about projects and activities from us and our partners. If you fill out this form, we may collect the following information you provide us with:

• If you are the applicant: your first name and last name, gender, date of birth, country, e-mail address, city, phone number, link to facebook profile, dietary requirements, allergies or medical requirements, your descriptions on why would you like to take part in our project, your experience/skills with activities relating to the project and how would you like to improve these, your description of potential contribution to the project, your experience with Erasmus+, your level of English speaking skills,

• If you are the parent of an applicant who is younger than 16 years of age: your name, last name and email address. We will ask for your consent to process your child’s personal data as well as yours in accordance with this privacy policy.

Photographs and Videos

We have photographs and videos on our website, social network websites and YouTube, as well as in our brochures or newsletters. These are photographs and videos of the participants in our projects and activities, or of staff members, co-workers, group leaders, etc. These photographs and videos help us to promote our activities and projects and create visibility for us, as well as for non-formal learning, international volunteering and the Erasmus+ programme in general. These photographs and videos are by no means for commercial purposes.

As a rule, we ask all our project participants to provide us with a GDPR consent before we publish any materials with their personal data (including photos or videos). However, you will always have the right to request the deletion of photographs or videos in which you appear.

Why do we process your personal data

The purpose of processing (collecting and using) your personal information via this website, is:

• to deliver the services and/or information you have requested – if you contact us and/or ask us to send you information about us and our activities and projects, to be considered as a potential future team member or for your organisation to be considered a potential future partner to us;

• to fulfill our duties and tasks related to the project administration within the Erasmus+ programme (e.g. dissemination);

• to ensure equal rights and opportunities including gender equality to everyone who would like to take part in our projects;

• to ensure health and safety of all participants of our projects and activities;

• to promote our activities and projects and create visibility for us, as well as for non-formal learning, international volunteering and the Erasmus+ programme in general.

Lawful basis for processing of your personal data

The lawful basis for processing of your personal data by us are:

• when you provide us with your consent to the processing of your data – e.g. when you subscribe to our mailing list;

• when the processing is necessary for the performance of a contract to which you are party or in order to take steps at your request prior to entering into a contract – e.g. when you participate or wish to participate in our project or activity, want to be considered as a future project participant, team member or you’d like us to consider your organisation as a future partner to us;

• when processing is necessary for compliance with a legal obligation to which we are subjects.

How do we process your personal data & Security

We have taken administrative, physical and technical measures to protect the personal data provided by you against any incidental, unlawful or unauthorized destruction, loss, modification, access, disclosure or misuse. We have security measures to ensure the security and confidentiality of personal data including verification of users and reinforced network infrastructure. The personal information you provide to us is stored on our secure servers in accordance with the General Data Protection Regulation.

How long do we keep your personal information

We only keep your personal information for the time necessary to fulfil the purpose of collection or further processing. In case of our projects, this is usually 3 or 5 years of compulsory archiving time after the project closure.

Your rights in connection with your personal data

You have the right to ask us not to process (limit the processing of) your personal data and you have the right to access information held about you and request that your data be erased. We will not sell, rent or lease any of your details to third parties. You also have the right to data portability – in other words, you may require that your data should be transmitted to another data controller. Furthermore, you have a right to lodge a complaint with a supervisory authority if you believe that the processing of your personal data infringes the GDPR.

Right to access, correction and modification

On request, we will inform you as soon as possible in accordance with the applicable law whether and which personal data of yours is stored by us. In case incorrect information is saved, despite our efforts to ensure that the data is correct and up-to-date, we will correct it at your request.

Right to erasure and withdraw your consent

You can withdraw your consent for the use of your data at any time in accordance with the General Data Protection Regulation. If you contact us and withdraw your consent, we will delete your personal data as soon as we can. Please note, that the withdrawal of your consent does not affect the lawfulness of processing based on consent before its withdrawal.

We’re not responsible for the protection and privacy of any information you provide while visiting other websites. This privacy policy applies to this website only.
